Terms and Conditions

Rentals

Security Deposit
No security deposit is required for rentals. However, we require a valid credit card to be kept on file for the duration of the rental.

Payment
All rentals must be paid in advance or at the time of pick-up. Payments can be made via cash, check, or major credit card.

Rental Period
The minimum rental period is 24 hours. Rentals must be returned by noon on the return day, unless otherwise approved in advance by a RentForEvent representative. Late returns will incur an additional day of rental charges for each day the equipment is not returned. Weekends are not included in the rental period. Equipment rented over the weekend must be picked up after 1 PM on Friday and returned by noon on the following Monday.

Weekend Rentals and Packages
Our consumer packages and weekend rental prices are based on “over-the-counter” rentals, meaning the renter picks up and returns the equipment. Equipment can be picked up on Friday after 1 PM and must be returned by noon on the following Monday. For after-hours or weekend pick-up and return, appointments can be arranged for an additional fee, depending on staff availability.

Rental Reservations
All equipment must be reserved to guarantee availability. A reservation is only complete once we receive the signed estimate and deposit. The signed estimate can be completed digitally via the link provided in the email or by printing, signing, scanning, and returning the estimate to us. We do not guarantee equipment availability for non-reserved rentals or walk-in customers.

Know-How
The renter is responsible for understanding how to set up, operate, and strike the rented equipment. Upon pick-up or delivery, a team member will go over the equipment and provide guidance on its proper use. RentForEvent also offers technical assistance via phone. For assistance after normal business hours or on weekends, please call our toll-free number and select the “Technical Assistance” option.

Liability
By signing the estimate, the renter assumes full responsibility for the equipment. The renter is financially liable for any lost, stolen, or damaged equipment once it leaves the RentForEvent warehouse. The renter is also responsible for any lost revenue due to late returns, lost, stolen, or damaged equipment. All charges will be billed to the credit card on file. Alternative payment options can be arranged with a RentForEvent team member.

Discounts and Refunds
Discounts or refunds will only be provided if the equipment malfunctions or fails to function as expected. No discounts or refunds will be given due to user error, acts of nature, or event cancellations after the rental has been procured. All discounts or refunds will be determined by a RentForEvent team member.


Rentals with Labor

Weekend Rentals and Packages
Our consumer packages and weekend rental prices apply to “over-the-counter” rentals only, where the renter picks up and returns the equipment. Weekend pricing does not apply when delivery, pick-up, or labor is included in the rental.

Labor Terms
Basic set-up and strike labor is limited to two hours and is available only for equipment or packages rented from RentForEvent. Labor rates are based on a non-union 10-hour workday or a 5-hour half-day. Overtime is charged at 1.5 times the regular hourly rate for any hours worked beyond the normal 10-hour day. Overtime is not included in the estimate. A 1-hour “walk-away” dinner break is required for all full-day labor. If the client provides a hot meal and beverage for all crew members, a 30-minute meal break may be observed instead.

Parking
The renter is responsible for providing parking passes or reimbursing parking fees for all RentForEvent team members involved in the event. Parking fees will be charged to the credit card on file unless otherwise arranged.

Venue Costs
The renter is responsible for all venue-related charges, including but not limited to rigging, power, power distribution, security, and liaison fees.

Insurance
RentForEvent, LLC will provide a Certificate of Insurance (COI) to the event venue upon request. COIs are only available for events where RentForEvent is providing labor to set up, operate, and strike the equipment. Rentals handled by other technicians must be insured by the renter.
